How to Set Up a Deferral Automation  

Creating an automated deferral in Freedom is a straightforward process that allows you to schedule deferrals for customers automatically.  

Accessing the Deferral Automation Module 

  • Navigate to the New Automation Module: This module is part of the new finance section in Freedom. 
  • Open the Deferrals Tab: This tab enables the creation of new automations for deferrals. 

Creating a New Deferral Automation 

  • Add a New Deferral: Start by adding a new deferral to initiate the creation of a deferral trigger. 
  • Choose a SKU for the Trigger: Select a SKU (Stock Keeping Unit) from the available list. You can edit and view the list of SKUs as needed. 
  • Filter by Module Name: This helps in grouping and viewing deferrals based on module names like DUES events, products, or program tickets. 

Setting Up Specifics for the Deferral 

  • Select the Deferral Type: For instance, choose “DUES Level Chairman's Club” for a dues-related deferral. 
  • Set a Category for Organization: Categories like 'membership' help in organizing different deferrals. 
  • Name Your Deferral: Assign a recognizable name like “Chairman's Club Deferral.” 

Configuring Deferral Frequency and Schedule 

  • Choose the Frequency: Options include monthly or one-time. Monthly means the deferral will recur each month. 
  • Set the Automated Deferral Line: Decide how many months the deferral schedule should cover (e.g., 12 months for a year). 
  • Determine the Start Date: Choose between the DUES term start date or the transaction date for the SKU. 

Finalizing the Deferral Automation 

  • Select Revenue Liability and Contrary Accounts: These can be set to default or customized based on SKU mappings in the chart of accounts.
  • Save the Automation: Ensure all necessary fields are filled before saving. 

Post-Creation 

  • Once the automation is saved, it creates a new deferral schedule based on the specified conditions.
